Office & Production Assistant (OPA) – TV Production

If so, this role could be for you. We are excited to outline an opportunity to work for an award-winning production company, supporting teams in creating premium content for the US and UK.

We are looking for a super-organised assistant to support the office team at our vibrant Central London office. You will be working as one of two Office & Production Assistants, reporting to the Office and Communications Manager. This will be an initial three-month contract, starting early to mid-May with a view to extend.

You will be involved in all the administrative activities that facilitate the smooth running of the office day-to-day. You will be at the very heart of the organisation, creating and maintaining a happy and healthy work environment to optimise organisational effectiveness, communication and safety. Tasks will be varied and diverse so we’re looking for someone with genuine enthusiasm and a will to learn. Often the role is working to tight deadlines, so you need to be resilient and able to work under high pressure.

You will also be supporting various teams, including Development, Talent and Production. In addition, you will be covering the Executive Assistant to our CEO for holiday and sickness cover and at times when they need additional support. There will also be social media and marketing tasks as part of this role. Experience in these areas is desirable but not essential.

Salary: £592 p/w (subject to annual pay review)

Pension: Auto enrolled after 12 weeks, with earlier opt-in available

Annual leave: 20 days per year plus bank holidays (pro-rata)

Key responsibilities:

·Reception duties - welcoming visitors and ensuring a positive experience at first contact with our company

·Open and close of the office everyday Mondays to Fridays - working to a rota which is currently 09:00 to 18:00 and 10:00 to 19:00 (subject to change)

·Managing a hot desk and room booking system, ensuring the smooth running of a busy office with multiple demands on meeting and desk space

·Assist with employee onboarding - setting up laptops, emails/server access, inductions, training, allocation of equipment, keys etc

·Support with IT/tech troubleshooting and administrative management of the company’s platforms and databases

·Work with the Office Manager to ensure a safe and healthy office environment, including H&S inductions, fire drills etc

·Preparing meeting rooms, including arranging catering and setting up A/V

·Maintaining the appearance of the office, keeping communal areas, meeting rooms and kitchens clean and tidy at all times

·Ensure the kitchens and office spaces are fully stocked, ordering groceries, stationery and equipment when needed

·Accept and sort mail and deliveries and arrange postage and couriers

·Designing artwork for events including menus and posters

·Support the planning and running of events and office social activities

·Support the Office Manager with the weekly company meeting ‘Letter from America’, including creating games, decks, video and other content

·Support Development with creating and running a monthly social media staff meeting ‘Trend Watch’, updating on the latest social news and trends.

Marketing and PR responsibilities:

·Maintain production marketing folders, ensuring key assets are saved in the correct locations across all departments.

·Act as a conduit for team requests, actioning only those that have been approved by the relevant managers, including the Head of Marketing and PR, Line Producers and Executives.

·Create artwork for email signatures and newsletters.

·Monitor time-sensitive social media activity when the social media team is unavailable.

Administrative/EA support:

·Cover for leave/absence of EA to CEO and Chief Creative Officer to include being on call during core business hours, inbox and diary management

·Managing multiple time zones, as CEO and many clients are US based

·Ad hoc support to Talent and Development departments as required.

Required skills and experience:

Essential for the role:

·Outstanding and consistent attention to detail

·A passion for unscripted TV

·Excellent ability to multitask to changing demands and priorities

·Proven problem-solving ability

·Excellent people skills and can-do attitude

·Proactive with excellent communications skills

·Ability to work independently and under own initiative

·Good knowledge of MS Office, including Word, Outlook, Excel and PowerPoint

·Familiarity with communication applications such as Zoom/MS Teams

Desirable (nice to have):

·Previous experience within customer service, hospitality or admin 

·Confident in using Adobe software for creating artwork

·Skills of filming on a DSLR camera and basic editing skills on Premiere Pro

·Basic skills on Canva

·Good knowledge of posting on social media platforms

·Experience of updating websites.
